Turn a quote into an invoice
When a client accepts, convert the quote in one step. Bill the full amount, or take a deposit now and let Pricely create the balance invoice for you.
From the quote
- Open the accepted quote
Only Accepted quotes can be converted. Each quote can be converted once; if an invoice already exists you'll see An invoice already exists for this quote.
- Choose Create Invoice
The Create Invoice from Quote dialog shows the quote number and total.
- Pick the invoice type
Full invoice bills the whole amount. Deposit invoice collects part of it now; see below.
- Set the due date
The due date defaults to seven days from today. Change it to whatever you agreed with the client.
- Create, then send
Pricely creates the invoice as a Draft and opens it. You'll see It stays a draft until you email it. Nothing reaches the client until you choose Send invoice.

A full invoice copies the quote's line items (with their line discounts, units and tax-exempt flags), currency, tax, discount, notes, terms and PO number, and links back to the source quote. Deposit and balance invoices each have a single line for their share of the quote total.
Deposit invoices
Choose Deposit invoice and enter a percentage from 1 to 99. The dialog shows the deposit amount as you type. Pricely then creates two drafts:
| Invoice | Amount | Line on the invoice | Due |
|---|---|---|---|
| Deposit | Your percentage of the quote total | 40% Deposit — QT-0042 | The date you chose |
| Balance | The rest of the total | Balance (60%) — QT-0042 | 60 days from today, editable later |
From the Invoices page
When you have accepted quotes that aren't invoiced yet, the Invoices page shows Convert Quote (n). It opens Convert Quote to Invoice. Select an accepted quote and choose when payment is due:
| Payment Due | Due date |
|---|---|
| Due on Receipt | The day the invoice is created |
| Net 15 / Net 30 / Net 45 / Net 60 / Net 90 | 15, 30, 45, 60 or 90 days later. Net 30 is the default. |
What your client sees
When you send the invoice, your client gets an email with the amount due and a View & Pay Invoice button. The link opens the invoice in their browser, with no account needed. From there they can save a PDF and, if you accept them, pay by card or follow your bank transfer details.
With a deposit, send the deposit invoice first. Keep the balance invoice as a draft until the work is done, then send it.
Troubleshooting
| You see | Why | Fix |
|---|---|---|
| No Create Invoice button | The quote isn't Accepted yet. | Wait for the client to accept. If they said yes by phone or email, use Accept on the quote. See Send a quote. |
| An invoice already exists for this quote. | The quote was converted before. | Find it in Invoices; it links back to the quote. |
| Client does not have an email address. when sending | Neither the quote nor the client record had an email when you converted. | Add an email to the client on the Clients page, delete the draft invoice, then convert the quote again. |
